Can you downgrade Brevo after moving the newsletter?
Compare a smaller paid Brevo allowance with Free while preserving password resets, receipts and other application email, with an unexecuted delivery rehearsal.
You may be able to reduce Brevo's paid allowance after the newsletter moves, provided the remaining application messages still fit and arrive in time. Start with a smaller paid allowance; consider Free only after checking peaks, operational access and delivery evidence. A quiet monthly average does not establish that password resets will arrive during a busy afternoon.
Keep the Brevo account. Closing it stops linked services and permanently loses data, whereas subscription cancellation is a separate action. This decision concerns the retained account, not changing SMTP providers. Brevo's account-closure consequences.
Identify every application still sending
Build one row per application and message type, including forgotten plugins, website forms, scheduled jobs and billing systems. Have the application owner verify each row against configuration and recent activity.
| Record | What to capture |
|---|---|
| Application and purpose | Actual system, environment and trigger: reset, receipt, alert or confirmation |
| Sending route | API, SMTP, plugin or automation; configuration location without credentials |
| Message identity | Sender address, reply address, template identifier or code-owned template |
| Responsibility | Primary operator's full name, backup operator's full name, alert destination and coverage |
| Demand | Monthly total, busiest observed day, short bursts, seasonal peaks and retries |
| Timing | Maximum acceptable delay for this message, including reset expiry |
Inspect a representative business cycle and known busy periods. Missing history means insufficient evidence, not zero traffic. Reconcile application counts with Brevo activity and explain discrepancies. Confirm that migrated newsletter schedules have stopped using Brevo; inventory any remaining marketing sends separately.
Brevo credits cover both marketing and transactional messages. Lower-volume paid tiers can also have contact-storage constraints, so a lower sending requirement does not guarantee that the account qualifies. Preserve needed contacts and exclusion records rather than deleting them merely to unlock a tier. Credit and tier rules.
Compare peak demand with the proposed allowance
Brevo documents 300 daily sends on Free, without unused daily capacity carrying forward. Once that allowance is exhausted, its transactional retry queue holds up to 1,000 additional messages; messages beyond that queue are not delivered. These are documented limits checked on October 21, 2026, not measured performance for your account. Free-plan limits.
Compare the account's actual reset boundary and restrictions with the busiest combined day, expected growth, incident retries and headroom. Do not multiply a daily allowance by a month and treat the result as interchangeable monthly capacity. If normal recovery from an application outage could exhaust the day, retain paid capacity until a credible alternative is tested.
Free also permits only the account owner as a user and excludes dedicated IPs. If your service depends on a dedicated IP or separate console access for the backup operator, defer Free pending a supported arrangement. Document a supported ownership or escalation route; do not share the owner's credentials. A smaller paid allowance must preserve required access too. Free access and feature boundaries.
A successful API response is not proof of timely recipient delivery. Brevo returns a message identifier for tracking subsequent events; SMTP messages can pause when credits run out, and recipient providers can delay or reject mail. API response and delivery events, SMTP troubleshooting.
Proposed pilot — UNEXECUTED
No account change, application test or delivery measurement was performed for this guide. The following is a proposed acceptance procedure. Assign named primary and backup operators before starting.
- Set up harmless fixtures. Use a staging application or approved test-only identity, fictional order data and team-controlled inboxes, including one on an external mail service. Use the application's sending method and a copy of its relevant template. Record differences from production. Do not create a purchase or send customer receipts. Reset-shaped messages must contain an inert test link, never a usable customer reset URL or token.
- Define the expected set. For each supported message type, send one uniquely labelled fixture to each of two controlled inboxes. A receipt and a reset fixture therefore produce four expected messages. Record application event ID, sender, template, recipient alias and trigger time. Agree the permitted delay before sending.
- Reconcile every stage. Match each event to the API response or SMTP result, Brevo message ID and subsequent log events. Have recipients record arrival time, inbox or spam placement, rendering and reply address. Brevo supports transactional log filtering and CSV export across API, SMTP and automation sends. Keep message counts separate from event rows: one message can generate several events. Transactional logs.
- Exercise failure handling safely. In staging, simulate a rejected submission, delayed delivery event and absent delivery event. Confirm the operator detects each exception, identifies its application and follows the retry procedure. Use synthetic signals for quota exhaustion; do not deliberately exhaust production credits or generate real complaints. Simulation tests your response, not Brevo's actual queue timing.
- Repeat with the backup. The named backup must reconcile a fresh set and handle an exception without the primary's help, using permitted access. Fail on unexplained missing or duplicate messages, excessive delay, incorrect templates or an inaccessible recovery procedure.
Record pass/fail per application. Keep evidence restricted and redact message bodies, clicked URLs, credentials and reset tokens. Passing a low-volume rehearsal does not prove peak capacity: replay historical counts against the proposed allowance on paper, then monitor the actual service through a representative cycle.
Keep monitoring after a reduction
Assign an alert threshold below the allowance that leaves time for intervention. Monitor remaining credits, queue growth, API or SMTP failures, deferred messages, bounces, blocked recipients and missing delivery events. Brevo's API documentation describes transactional event webhooks; verify your existing receiver actually processes the events you need. Available delivery events.
Have alerts reach the primary and backup through a channel that does not depend solely on the affected email route. Agree response times against each application's delay tolerance. If Free's access restrictions prevent timely intervention, keep an appropriate paid arrangement. A monitored queue still fails the decision when the recipient needs the message sooner.
Confirm the remaining bill and a reversible decision
Record the current invoice, proposed paid allowance or Free arrangement, remaining add-ons, dedicated-IP charge, taxes and any other retained subscription. Enter the actual revised total and effective date from the account confirmation. Removing email credits takes effect on the next billing date. Subscription cancellation moves the account to Free at period end; dedicated-IP cancellation is separate, and yearly Professional cancellation requires support. Allowance timing, Cancellation terms.
For the same period, calculate recurring reduction = current Brevo charge − remaining Brevo charge − new recurring costs introduced by this reduction. An already-running newsletter replacement belongs in both current and proposed totals; do not subtract its unchanged expense again. If also evaluating the original newsletter migration, compare complete before-and-after totals separately and count its replacement cost once. Count the shared Brevo bill once. Record prepaid commitment and nonrecoverable spend separately from future renewal savings, alongside operating effort. Use your invoice and confirmed revised charge, not an advertised starting price.
Before period end, a scheduled cancellation can be removed. After a reduction, have the authorized operator restore sufficient allowance if needed, then reconcile queued, failed and already-delivered messages before retrying. Brevo says a Free-plan upgrade's higher daily limit applies to messages sent after upgrading; do not assume it rescues earlier submissions. Never blindly resend expired reset links or duplicate receipts. Cancellation reversal, Upgrade boundary.
Finally, assign a recurring account-health check. The cancellation page advises logging in every four months; the dedicated inactivity policy clarifies that automatic activity, including transactional email, keeps Free accounts active. Monitor that activity and login reminders rather than assuming a dormant application protects the account. Free-account activity policy.
Keep the current allowance when dependencies, peaks, backup access or the revised bill remain unresolved. Use the subscription audit only for the reduction you can actually achieve while the application messages continue working.
