# Choose the right guide for one software bill

> Start with one invoice, then choose a smaller retained plan, a replacement workflow or an archive and handoff before reducing access.

**Start with one actual bill and the next job it pays for.** Find the invoice, purchasing account, renewal date and person responsible for that job. Then choose the problem you need to solve:

| Your situation | Start here |
|---|---|
| The tool still earns its place, but some paid access may be unnecessary | Review quantity, roles or tier first; for example, the [Airtable collaborator review](/guides/airtable-collaborator-cost-review). |
| Another tool you retain might do the work | Test that specific job; for example, [Bookings for a Calendly team](/guides/microsoft-bookings-vs-calendly). |
| A departure, old records or published links make reducing access risky | Preserve and hand off first; for example, the [Slack archive procedure](/guides/slack-archive-before-downgrade). |

Use the matching route below. If more than one applies, start with the unresolved handoff or history dependency. You can decide to keep a subscription after reading one relevant guide; completing a migration is not the objective.

## Keep the tool, investigate a smaller bill

These guides examine narrower access or capacity while retaining the working platform. Choose the person's actual responsibility, including occasional cover, rather than assuming a quiet account is unnecessary.

| Bill or responsibility | Guide and decision |
|---|---|
| Airtable collaborators | [Review collaborator costs](/guides/airtable-collaborator-cost-review): inspect all grants and test the required job under proposed permissions. |
| Figma reviewers, developers or occasional editors | [Change a seat without migration](/guides/figma-seat-change-without-migration): match actions to access and protect shared drafts. |
| CRM users or tier | [Reduce CRM costs](/guides/reduce-crm-costs-small-team): hand off sales records and connections; the worked procedure concerns Pipedrive. |
| Google Workspace edition | [Standard-to-Starter decision](/guides/google-workspace-business-starter-downgrade-test): review storage, controls and essential tasks for the retained organization. |
| Brevo after newsletters move | [Retained application-email allowance](/guides/brevo-transactional-email-after-newsletter-move): check peak demand, timely receipts and resets, supported operator access and the confirmed remaining bill. |
| An external Notion collaborator | [Member-or-guest audit](/guides/notion-external-collaborator-seat-audit): test a genuine external person's page-scoped work and private-content handoff. |
| A Slack contractor | [Single-channel role test](/guides/slack-contractor-seat-reduction): examine the complete assignment, historical access and remaining guest capacity. |
| monday purchased seats | [Smaller renewal quantity](/guides/monday-seat-reduction-before-renewal): hand over boards and connections while keeping the current work-management tier. |
| A Tableau author whose duties changed | [Creator handoff and lower-role test](/guides/tableau-creator-seat-handoff): keep Tableau Cloud and prove successor maintenance before changing the license mix. |

Considering a move instead? Pair the Airtable review with the [shared-spreadsheet comparison](/guides/airtable-vs-shared-spreadsheet), and the Figma review with the [occasional static-graphics test](/guides/figma-seat-for-simple-graphics). The [Tableau dashboard replacement guide](/guides/tableau-vs-spreadsheet-dashboard) evaluates moving a reporting workload. Those are different decisions from reducing access inside the existing system.

## Move a defined job to a retained tool

Choose one representative job and name its remaining dependencies. These routes help decide whether a partial move is worthwhile; they do not establish that the entire source subscription can disappear.

| Reader problem | Follow this route |
|---|---|
| A newsletter bill | Start with [Gmail mail merge for MailerLite or Brevo](/guides/gmail-mail-merge-vs-newsletter-platform), or [Mailchimp resizing and alternatives](/guides/mailchimp-alternatives). Then use the [suppression-transfer procedure](/guides/newsletter-suppression-transfer) for its MailerLite, Brevo and Gmail scope; do not apply its destination rules to Kit or Mailchimp by analogy. |
| Slack work might move into Microsoft 365 | Read the [Teams replacement comparison](/guides/microsoft-teams-vs-slack-existing-subscription), then the [Slack archive guide](/guides/slack-archive-before-downgrade). Moving new conversations and retrieving old decisions need separate acceptance. |
| A Typeform or SurveyMonkey intake might move to Google Forms | Begin with the [form-builder comparison](/guides/google-forms-vs-paid-form-builder). Use the [Google Forms record archive](/guides/google-forms-response-archive) for records subsequently collected there, or an existing Google form. It is not a third-party export procedure or complete Google Forms owner handoff. |
| A Calendly booking charge | Choose [Google Calendar appointment schedules](/guides/calendly-vs-google-calendar-appointments) for a named-person booking path, or [Microsoft Shared Bookings](/guides/microsoft-bookings-vs-calendly) for the documented team-service scenario. Test guests and existing appointments too. |
| A few expensive Zaps | Use the [partial Zapier move](/guides/zapier-alternatives) to examine remaining workflows, measured usage and a real downgrade quote. |
| An Airtable internal request tracker | [Included AppSheet test](/guides/appsheet-internal-request-tracker-test): check user entitlement, record isolation, real notifications and backup maintenance for one bounded internal job. |
| Paid individual Cursor assistance for one maintainer | [Retained Claude Code workflow](/guides/claude-code-vs-paid-cursor-workflow): test a complete maintenance task, editor habits, shared capacity and recovery. |
| A standalone Teams Essentials meeting charge | [Existing Google Meet rehearsal](/guides/teams-essentials-vs-existing-google-meet): test client joining, backup hosting and recording retrieval while retaining Workspace. |
| Several AI assistant bills | Use the [bill-by-bill AI audit](/guides/find-redundant-ai-subscriptions) to map complete jobs, approved access, shared capacity and retrievable records to each actual charge. |

## Preserve working assets or hand over ownership first

A finished output and a maintainable source answer different needs. Select the guide for what the next operator must retrieve or change.

| What must survive | Guide and scope |
|---|---|
| A departing designer's Adobe work | [Reclaim assets before renewing fewer Teams seats](/guides/adobe-teams-leaver-assets-before-seat-renewal): distinguish asset recovery, successor editing and purchased quantity. |
| An old Descript project needs another revision | [Editable-project handoff](/guides/descript-editable-project-handoff): evaluate native ownership or a bounded timeline export, including missing elements. |
| Loom recordings appear in customer pages | [Video and embed preservation](/guides/loom-video-archive-before-downgrade): test stored assets and the actual viewing locations. |
| A leaver's Microsoft 365 mailbox | [Mailbox retention decision](/guides/microsoft-365-leaver-mailbox-retention): separate historical access, licensing and identity; other employee files remain outside scope. |
| A leaver's Google Workspace account | [Archive and retrieval decision](/guides/google-workspace-leaver-archive-test): prove historical access and future-contact handling, then check the actual license and billing route. |
| An internal Apps Script reminder depends on its creator | [Scheduled reminder handoff](/guides/apps-script-scheduled-reminder-owner-handoff): reconcile the old run, retire its trigger and verify the successor's scheduled run. |
| A Microsoft Form depends on its owner | [Forms owner handoff](/guides/microsoft-forms-owner-handoff): check links, workbook updates, uploads and connected flows separately. |
| A live Lovable app outlasts active building | [App continuity after cancellation](/guides/lovable-live-app-after-cancellation): separate code, hosting, records, authentication and operating dependencies. |

## Turn the selected route into a decision

The linked pilots are proposals, **not tests executed for your account**. Record the chosen job, expected result and observed failures. Require a backup operator, historical retrieval and a usable return path where relevant. Keep paying when essential work, records or recovery still need that access.

Use actual invoices and confirmed quotes for aligned users, seat quantities, service scope and commitment periods. Compare current and proposed totals, including retained subscriptions and incremental costs once. Moving a task can leave contractual savings at zero. Keep transition effort and continuing administration visible separately.

After the specific decision is supported, use the [cancellation checklist](/guides/cancel-software-safely) for billing follow-through and the [subscription audit](/audit) to record the retained stack. See [current review options and availability](/pricing) for ongoing help.
