# Reducing CRM costs for a small team: downgrade, consolidate or rebuild?

> For teams of one to ten: when a free CRM tier is enough, when a spreadsheet CRM works, and when Salesforce or HubSpot's paid tiers are genuinely worth it.

CRMs are priced per seat, per tier, and often with add-ons and onboarding fees, so small teams end up paying for capacity built for much larger ones. There are three ways to spend less. In order of risk:

## Option 1 — Use fewer, cheaper seats on the CRM you have

Before switching anything, check:

- **Inactive seats.** Anyone who hasn't logged in for 60 days is a candidate for removal.
- **Tier fit.** List the features you actually use (pipelines, sequences, forecasting, custom objects, reporting). Compare them to the tier below on the vendor's pricing page. Our tool pages for [Salesforce](/tools/salesforce), [HubSpot](/tools/hubspot) and [Pipedrive](/tools/pipedrive) show which capabilities sit on which plan, with verification dates.
- **Annual vs monthly.** Annual billing is cheaper per month but locks you in; only switch once you're confident in the tier.

## Option 2 — Move to a free or cheaper CRM tier

For one to three people mostly tracking contacts and deals, a free CRM tier can be enough. HubSpot's free CRM is the common example; check its current user and contact limits on the [HubSpot page](/tools/hubspot) before relying on it. The trade-off is usually sequences, reporting depth and automation.

## Option 3 — Build a lightweight CRM in tools you already own

If you already pay for Google Workspace or Microsoft 365, a well-structured spreadsheet plus a small script can cover contacts, a pipeline and follow-up reminders. The [Google Sheets CRM workflow](/workflows/small-business-crm-in-google-sheets) includes the sheet schema and an Apps Script for overdue follow-up digests.

This works well for service businesses with a handful of deals at a time. It does **not** replace email sync, sequence tracking, forecasting, permissions or audit trails.

## When to keep paying

Keep your paid CRM if several reps share accounts, you need email sync and activity tracking, you report on pipeline to investors or a board, or the CRM is integrated with billing and support. In those cases the cheaper route is usually Option 1, not a rebuild.

## Prospecting data is a separate decision

An AI assistant can research companies, but it can't give you verified contact emails and phone numbers. That still takes a data provider. See the [prospect research workflow](/workflows/prospect-research-with-ai-assistant) for what AI can and can't do here, and the compliance considerations.
