# Zapier

> A no-code automation service that connects thousands of apps, priced by the number of tasks it completes each month.

Zapier connects apps with 'Zaps': a trigger in one app starts actions in others. The Free plan allows two-step Zaps. Pro adds multi-step Zaps, premium apps, Paths (branching), webhooks and AI steps. Team adds shared Zaps, shared connections, SAML SSO and up to 25 users. Zapier also bundles Tables, Forms, Canvas and AI Agents. Billing is by tasks: each successful action counts as a task, while triggers, filters, Formatter and Paths do not.

## Capabilities

| Capability | Fit | Plans | Limitations |
|---|---|---|---|
| Automate simple app-to-app workflows (`workflow-automation`) | native | all | Costs climb quickly with task volume; Free plan: 100 tasks and two-step Zaps only |
| Run multi-step, high-volume automations (`advanced-automation`) | strong | pro, team, enterprise | Loops and complex data handling are clumsier than in Make or n8n; High volumes are expensive per task |
| Run AI agents that complete multi-step tasks (`ai-agents-automation`) | partial | all | Agent activity is metered separately from tasks; Premium agent features are add-ons |
| Store structured data in a shared database or spreadsheet (`database-spreadsheet`) | partial | all | Not a full database or spreadsheet replacement |
| Collect information with forms and surveys (`forms-surveys`) | partial | all | Basic compared with dedicated form tools |

## Why people pay for it

- The largest integration catalogue (the pricing page cites 9,000+ apps).
- Non-technical staff can build automations without code.
- Hosted and maintained: no servers, updates or monitoring to run.
- Multi-step Zaps with branching, webhooks and AI steps on paid plans.
- Team features such as shared Zaps, shared app connections and SSO.

## Reasons to keep paying

- A 9,000+-app integration catalogue; niche SaaS apps often have a Zapier connector before they have one anywhere else.
- Reliability without self-hosting: Zapier runs, retries and monitors the automations for you.
- Ease of use for non-technical teams, so automations are not bottlenecked on engineers.
- Dozens or hundreds of existing Zaps that would each need rebuilding and re-testing elsewhere.

## Risks

- **vendor_lock_in** (medium): Automations are defined in Zapier's proprietary format.
- **migration_complexity** (medium): Moving many Zaps means rebuilding and testing each one, and some apps may lack connectors elsewhere.
- **sensitive_data** (medium): Data passes through Zapier's cloud and is stored in task history; check retention settings for sensitive data.
- **reliability** (low): When the task limit is reached without pay-per-task, Zaps stop until the next cycle.

Data portability: hard — Zaps cannot be exported into another automation platform; each must be rebuilt and re-tested. Tables data can be exported.
