# Send a small opted-in newsletter through an eligible Workspace account

> Test a simple newsletter with Gmail mail merge only when your existing Workspace edition supports it. Keep the email platform for automation, forms, transactional messages or list management you cannot reproduce safely.

- Outcome: Send a small, permission-based update with tested personalisation and an accountable opt-out process.
- Replaces: MailerLite (task_specific), Brevo (task_specific)
- Uses: Google Workspace — Use an already-paid Business Standard account for Gmail mail merge and a controlled recipient sheet; other editions require a separate eligibility check.
- Extra monthly cost: $0 — Conditional on already having the required accounts, eligible features and sufficient capacity; no upgrade is assumed. If the test requires added storage, seats or a plan change, enter that incremental cost before treating this as a saving.
- Difficulty: advanced; skill: basic; setup: Allow one focused pilot session, then a normal work cycle to test the result; this is an editorial planning estimate.
- Evidence: editorial; illustrative example: false; last reviewed 2026-10-16

## Good fit for
- An occasional simple update to a small opted-in external audience
- One accountable sender with a list comfortably within current account limits
- A team already paying for an eligible Workspace edition

## Not a fit for
- Cold outreach, purchased lists or uncertain consent records
- Transactional receipts, password resets, automated sequences or complex segmentation
- Teams needing platform forms, landing pages, detailed campaign reporting or reliable cross-sender suppression
- Anyone needing an upgrade solely to make this workflow available

## Before
Manage newsletter contacts and sends in MailerLite or Brevo.

## After
Send a simple update with eligible Gmail mail merge while maintaining a separately controlled consent and suppression record.

## Steps

### 1. Confirm eligibility and narrow the scope

Open Gmail with the exact account that will send and confirm mail merge is available. This workflow names Business Standard as the catalog prerequisite; do not assume Business Starter or a personal Gmail account qualifies. Read current limits and leave capacity for normal business email. If you must upgrade, calculate the full incremental bill before proceeding.

### 2. Inventory everything the old service does

List forms, landing pages, automations, transactional mail and reporting used today. Retain the existing platform if any required function lacks a tested replacement. Do not cancel a Brevo account that still sends essential application messages.

### 3. Prepare the permission and suppression records

Export permitted contacts and the relevant unsubscribe or suppression records while the old account is available. Keep a controlled record of consent and exclusions. Never treat a contact export as permission to email everyone in it. Check sender authentication and the current Google sender guidelines with the account administrator.

### 4. Build a small test message

Use a recipient sheet with only the fields you need. Prepare the message yourself, or use the optional prompt below in an assistant you already have with fictional sample data. Link the sheet through Gmail mail merge, review merge fields and use internal test addresses controlled by willing reviewers. Do not upload your live mailing list to an assistant.

### 5. Test delivery and opt-out handling

Check personalisation, links and replies. Gmail mail merge adds an unsubscribe link, but its suppression does not cover ordinary messages or other sending accounts. Test an external recipient opting out and update your central exclusions. Google does not provide a complete unsubscribed-recipient list in this interface; preserve notifications and stop if this manual process is not dependable.

### 6. Run a limited approved pilot

Send only to a small opted-in group within your current limits. Record failures, replies and exclusion updates. Do not switch accounts or disable mail merge to bypass an unsubscribe or sending restriction. Cancel only after a normal send cycle and a review of every dependency.

## Prompts

### Review a newsletter draft
Check clarity without exposing contact data or inventing an offer.

```text
Review this newsletter draft for {{audience}}: {{draft}}. Approved facts: {{facts}}. Return clarity edits and a checklist of claims or links requiring human review. Do not add offers, testimonials or recipient data. This is a writing check, not a legal compliance or deliverability certification.
```

## Limitations
- This is a narrow newsletter workflow, not a replacement for the whole MailerLite or Brevo platform.
- Gmail mail merge requires an eligible edition and remains subject to current sending limits; small means comfortably below the limits for your actual account, not a promised numeric allowance.
- Opt-outs must be coordinated across senders and tools; the built-in unsubscribe applies only within the documented scope.
- Manual consent, bounce and suppression handling can make a specialist platform the better choice even for a small list.
- Mail merge availability does not establish legal permission to send, guarantee inbox placement or replace applicable policy checks.

## Verification checklist (run before cancelling)
- [ ] The sending account has mail merge without an uncounted upgrade.
- [ ] The active list excludes all known opt-outs, invalid addresses and people without the required permission.
- [ ] Test recipients see correct fields and can use the unsubscribe link.
- [ ] Opt-out notifications reach the responsible owner and exclusions apply across every sender.
- [ ] The planned send leaves enough account capacity for normal email and meets current sender requirements.
- [ ] Forms, automations and transactional messages have either stayed on a retained platform or passed a separate replacement test.

## Savings methodology
Monthly saving = the bill you can actually stop paying, minus replacement upgrades, storage and seats, minus any retained subscription cost. Use your invoice and current vendor pricing pages; count a cancelled subscription once. Track migration and ongoing manual work separately. Cancellation is justified only when every paid use you need has passed the pilot.
