Can Teams you already pay for replace Slack for a small team?

Verify Microsoft Teams entitlement, guest access, Slack migration exclusions and integration ownership before reducing a small team's Slack bill.

Teams is a plausible replacement for routine internal Slack work when every participant already has the required entitlement and the team can preserve its important history and handoffs. Keep Slack when essential partner conversations, integrations or records have no tested destination. Access to a Teams meeting is not enough evidence to cancel a working chat environment.

This guide takes the Microsoft branch of the included-chat workflow, whose baseline is Google Chat. If your retained suite is Google Workspace, use the separate Slack versus Google Chat guide. Here the decision turns on Microsoft licensing, guest configuration and the actual scope of Microsoft's migration tooling.

Verify the entitlement, user by user

Microsoft currently offers business plans with and without Teams. Its US comparison page lists Business Basic with Teams and a separate Business Basic (no Teams) option. Business Standard signup instructions also explicitly distinguish With Teams and Without Teams. Microsoft business plans, Business Standard signup guidance.

Have the administrator record the purchased product, assigned licence and enabled service for each intended member. Check the invoice, tenant and renewal terms together. An old procurement description saying “Microsoft 365” does not settle the question, and today's storefront does not prove what your organisation bought previously.

Teams Premium is an add-on, not a substitute for the underlying Teams licence. Do not use possession of that add-on as your eligibility test. Microsoft's Teams Premium licensing explanation.

If some members need new licences, record that as replacement cost before comparing bills. Confirm access using normal work accounts in the intended tenant and the devices people use. Keep personal accounts and temporary trial access out of the acceptance decision.

Separate employees, guests and partner organisations

Microsoft guest access can give outside people access to teams, channel documents and applications. It depends on settings across Teams, Entra ID, Microsoft 365 Groups and SharePoint. External access for finding, chatting or meeting with another organisation is a distinct arrangement. Microsoft guest-access documentation.

Map each external relationship to the work it needs. A contractor reviewing a file, a client discussing a project and a partner organisation running a shared operational channel may need different arrangements. Do not assume one successful meeting invitation proves all three.

Invite a willing collaborator through the approved guest process and test the intended channel and file together. Microsoft says guest access can take up to twelve hours after addition, so allow for provisioning before diagnosing a failed invitation. Guest invitation timing.

Fail the replacement test if the partner cannot participate under their organisation's rules, if a file needs broader sharing than intended or if the guest sees unrelated material. Retain the necessary Slack relationship while those issues remain unresolved.

History is a separate migration project

Microsoft now documents a Slack-to-Teams tool supporting public and private channel content, threads, standard reactions, attachments and membership. It requires Slack exports, administrator permissions and Azure Blob Storage. That is a migration dependency to assess, not an included service to assume is costless. Microsoft migration-tool documentation.

The same tool excludes DMs, group chats, workflows, custom app integrations and Slack Connect channels. Archived channels must be unarchived before export to become available for migration. Channel links and custom emoji reactions also have limitations; canvases become HTML attachments and lists become JSON attachments. Supported content and exclusions.

Slack's own export permissions impose another boundary: public-channel messages and file links are exportable across plans, while broader private-channel and DM exports depend on plan and approval. An export containing links is not automatically a self-contained file archive. Slack export options.

Choose between a deliberately scoped historical migration and starting new discussions in Teams with an approved retained archive. Either needs an owner, access rules and a retrieval test. Do not label a downloaded ZIP a searchable replacement before someone other than the administrator can answer a real historical question with it.

Teams provides message search by keyword and filters such as sender, location and date; available filters vary with context. Test those tools against your actual retrieval needs instead of declaring search parity. Microsoft search guidance.

Run a handoff trial, not a chat demonstration

Choose one ordinary project and agree where its new messages belong. Give each channel a purpose and owner. Keep final decisions in an agreed, accessible record and publish the location. Set a pilot duration covering a normal work cycle, including an absence or handoff to the backup person where practical.

Situation Proposed acceptance test Stop condition
Routine handoff A request reaches the responsible person and receives an acknowledged response on their usual device A critical request requires somebody to relay it through Slack
Historical decision A colleague finds a selected decision, its author, context and attachment, including an archived project's channel prepared before export Required history is missing or the answer depends on the migration administrator's memory
External review The invited partner opens only the intended channel and document Missing access or unintended exposure remains unresolved
Operational alert A controlled test event reaches the correct destination with an owner and action Missing, duplicated or unowned alerts
Maintainer absence The backup diagnoses a deliberately documented integration failure The workflow depends on the departed or unavailable installer

For every app or automation, record what triggers it, what action it performs, who owns its connection and who handles failure. Verify destination permissions and any additional service cost. Test recovery as well as successful delivery. A manually copied notification is a different process; accept it only if somebody explicitly owns that work and its timing.

Keep Slack when the trial cannot support a critical integration or an established partner workflow. Also keep it when important history cannot be retained accessibly. A small headcount does not reduce the consequence of losing the team's operating instructions.

Cut over with a return path

Preserve authorised exports and a channel-to-destination map before any billing change. Record a cutoff for new discussion and reconcile decisions made during the transition. Microsoft's incremental migration does not synchronise edits or deletions, or new replies added to previously migrated root messages. Avoid treating repeated imports as a live mirror. Incremental migration limitations.

Keep the existing workspace usable during the pilot. If a critical handoff fails, announce the return destination and reconcile new Teams decisions into the agreed record before resuming there. Retain migration logs and resolve permissions before trying again.

Do not make Slack Free your indefinite archive by assumption: Slack limits accessible history to ninety days and deletes data older than a year on the free version. Its downgrade guidance also says Slack Connect channels disconnect. Slack's free-plan limitations.

Compare the bills that can actually change

Calculate monthly recurring reduction = current Slack invoice − remaining Slack charges − incremental Teams and other replacement costs. Include added seats, new archive storage or services, and new integration subscriptions. Record migration services, Azure storage and staff setup time separately according to whether they are one-time or recurring.

Normalise annual recurring bills by dividing by twelve, then record the actual renewal and seat-reduction dates. An annual commitment does not disappear because the pilot succeeded. Do not count both the whole Slack invoice and the same removed seats as separate savings.

Review Teams alongside the rest of the stack in the subscription audit. The evidence may justify a full move, a smaller Slack role or keeping the current arrangement; the successful outcome is a clear operating home with dependable access and ownership.
