Move simple project tracking into a suite you already use

For work that needs an owner, due date and status, test a shared Sheet before paying for another project system. Keep Asana, Trello or monday.com when their rules, integrations or established boards carry the work.

Uses
Google WorkspaceBaseline: maintain a shared Google Sheet and linked project documents in the existing account.
Time
Setup: Allow one focused pilot session, then a normal work cycle to test the result; this is an editorial planning estimate.
Extra cost
Conditional on already having the required accounts, eligible features and sufficient capacity; no upgrade is assumed. If the test requires added storage, seats or a plan change, enter that incremental cost before treating this as a saving.

Is it for you?

Today

Track work in Asana, Trello or monday.com, potentially alongside an existing office suite.

With this workflow

Use one shared task register and a named owner for review, with Notion or included Planner as alternatives only when already available.

Good fit if…

  • Small teams with a short, manually reviewed task list
  • Projects that can operate without automated dependencies, portfolio reporting or specialist integrations

Not for you if…

  • Teams depending on existing intake forms, recurring automations or resource planning
  • Projects where missed reminders create unacceptable operational risk
  • Large migrations with complex permissions, cross-project links or historical records that must remain usable

Step by step

  1. 1

Separate the job from the product

Choose one project and identify the decisions the tracker supports. List active tasks, owners, dates, status definitions, links and exceptions. Review the current bills at Asana, Trello or monday.com. Do not assume all three subscriptions are being cancelled.

  2. 2

Choose the destination you will keep

The baseline is Google Sheets. If your team already works in Notion, a project database may be a better home; if it retains an eligible Microsoft 365 licence, check included Planner before adding another tool. Those are alternatives, not additional requirements. Confirm guest access and any premium-only features in the actual account.

  3. 3

    Build a minimal register

Create columns for stable task ID, task, one accountable owner, due date, status, next action and source link. Define the allowed statuses in a visible instruction tab. Start with a copy of one active project, not an unreviewed bulk import. Record historical context separately if the destination cannot preserve it.

  4. 4

    Set the operating routine

Name the person who checks overdue and ownerless tasks. Agree when the team updates status and how urgent changes are communicated. A date in a spreadsheet is not a reliable reminder system by itself. If automated notifications are essential, test an existing supported mechanism or retain the original tool.

  5. 5

    Exercise difficult cases

Try a blocked task, an owner change, a moved deadline and an external reviewer. Check whether links and permissions still make sense. Reconcile the pilot register against the original project at each review; investigate missing rows or conflicting states before moving more work.

  6. 6

Retire only the duplicate paid use

After a normal project cycle, decide whether the new routine is sustainable. Preserve source exports and important links. Cancel only subscriptions whose necessary paid work has moved, and count shared replacement costs once across the whole stack.

Prompts you can use now

Copy as-is, or fill in the blanks first. Highlighted parts are placeholders.

Turn a project export into a migration plan

An optional assistant can help structure the review without changing live tasks.

Fill in 2 blanks (optional)
Here is a redacted project sample {{tasks}}. Required fields: {{required_fields}}. Propose a column mapping into a simple task register. Flag missing owners, ambiguous dates, duplicates and any dependency that would be lost. Do not invent dates or change task status. Return a review checklist before any import.

What you give up

  • A spreadsheet does not automatically reproduce task reminders, permissions, automations or reports from the original tool.
  • Notion and Planner are conditional alternatives; check their actual plan and permission model before using them.
  • A manual review routine has a continuing labour cost.
  • Exported rows may omit discussion history, attachments and relationships.

Before you cancel

Run these in parallel with your current tool. Only cancel when every box is ticked.

0/6 checks passed

Saved in this browser only. Cancel the old subscription only after every check passes.

How the savings work

Monthly saving = the bill you can actually stop paying, minus replacement upgrades, storage and seats, minus any retained subscription cost. Use your invoice and current vendor pricing pages; count a cancelled subscription once. Track migration and ongoing manual work separately. Cancellation is justified only when every paid use you need has passed the pilot.
