Replace simple Loom walkthroughs with recording tools you already have

Record a short walkthrough with an available OS recorder, share the file through your existing Workspace account, and use an assistant to turn checked notes into a summary. Keep Loom if its viewing and sharing workflow is the value.

Google WorkspaceStore and share the recording and written handoff using the Workspace account you retain.
ClaudeDraft a summary from your checked notes or an authorised transcript; raw-video ingestion is not assumed.
Time
Setup: Allow one focused pilot session, then a normal work cycle to test the result; this is an editorial planning estimate.
Extra cost
Conditional on already having the required accounts, eligible features and sufficient capacity; no upgrade is assumed. If the test requires added storage, seats or a plan change, enter that incremental cost before treating this as a saving.

Is it for you?

Today

Record and distribute walkthroughs through Loom, with the associated shared links and viewing experience.

With this workflow

Make a recording, verify sound and legibility, share it with named recipients and attach a checked summary.

Good fit if…

  • Occasional internal walkthroughs whose audience can open a shared Drive file
  • People willing to write or check a short transcript and manage sharing permissions

Not for you if…

  • Teams that rely on existing Loom links, viewer interaction or the integrated recording-to-sharing experience
  • Anyone needing automatic transcription without a separately confirmed eligible feature
  • Sensitive recordings that cannot be uploaded to the selected storage or assistant

Step by step

  1. 1

    Define the smallest replacement

Pick one recent Loom walkthrough. Write down its audience, required audio, captions and access controls. Check Loom pricing and your bill, but do not cancel while old embedded links still matter.

  2. 2

Choose a recorder that is actually available

On a Mac, open Screenshot with Shift-Command-5 and select the area and microphone. On Windows 11, use the Record option in Snipping Tool. Test audio first; do not assume all versions capture the same sources. For a meeting, Google Meet recording requires an eligible account and administrator permission; Zoom computer recording is an alternative only if your existing account and host permissions allow it. Zoom and OS recorders are not separate catalog subscriptions in this workflow.

  3. 3

    Record one clean explanation

Hide unrelated windows and notifications. State the purpose, demonstrate the steps and finish with the action the viewer should take. Play the saved file from beginning to end. Check small text and sound before recording a longer demonstration.

  4. 4

Create a summary from checked material

Write rough notes with timestamps, or use a transcript produced by a feature you have separately confirmed. Give only approved text to Claude with the prompt below. This workflow does not assume the assistant can watch the recording or produce a transcript from it. Correct the resulting instructions against the video.

  5. 5

    Share and test access

Upload the file to Drive and give the intended recipients access. Put the summary and recording link in one handoff document. Ask a recipient to open it with their own account and follow the instructions. Keep a local copy and record which old Loom links still need to work.

  6. 6

Decide after a normal work cycle

Repeat the test for the types of walkthrough you actually send. If extra manual work or missing viewing features are unacceptable, retain Loom. Otherwise migrate only the recordings you need and confirm the effect of cancellation on old links before changing billing.

Prompts you can use now

Copy as-is, or fill in the blanks first. Highlighted parts are placeholders.

Summarise a checked walkthrough

Produce a handoff without inventing actions or timestamps.

Fill in 3 blanks (optional)
Turn these checked walkthrough notes into a short handoff for {{audience}}. Goal: {{goal}}. Notes with timestamps: {{notes}}. Return purpose, ordered steps, warnings already present in the notes, and the next action. Preserve exact timestamps; say "not provided" where detail is missing. Do not claim to have watched the recording.

What you give up

  • Recording, storage and summaries are separate steps; the workflow does not reproduce every Loom viewing feature.
  • Meeting recording availability varies by edition, administrator settings and host permissions.
  • A summary cannot replace required captions, an accurate transcript or an accessible written alternative.
  • Retained recordings consume storage; deleting the subscription does not migrate old links.

Before you cancel

Run these in parallel with your current tool. Only cancel when every box is ticked.

0/5 checks passed

Saved in this browser only. Cancel the old subscription only after every check passes.

How the savings work

Monthly saving = the bill you can actually stop paying, minus replacement upgrades, storage and seats, minus any retained subscription cost. Use your invoice and current vendor pricing pages; count a cancelled subscription once. Track migration and ongoing manual work separately. Cancellation is justified only when every paid use you need has passed the pilot.
