Fit and scores (1–5) are editorial judgements. How we score

Why people pay for it

  • One place for docs, wikis, task trackers and notes instead of several tools
  • Databases with views (table, board, calendar, timeline) that non-technical people can set up
  • Business plan bundles AI agent, AI meeting notes and AI search across connected apps
  • Unlimited guests, longer page history and unlimited file uploads on paid plans
  • SAML SSO, private teamspaces and granular database permissions on Business

Reasons to keep paying

The honest case for Notion. If these matter to you, don't switch.

  • Years of interlinked pages, relations and database views do not export cleanly to other tools
  • Teams often build their whole operating system (wiki, CRM-lite, roadmap) on Notion databases
  • AI Meeting Notes and Notion Agent work directly on your existing workspace content
  • Templates and team habits built around Notion's block editor are a real switching cost

Risks to know about

  • mediumvendor lock in

Linked databases and views are Notion-specific and lose structure on export.

  • mediumsensitive data

AI features send content to LLM providers; zero data retention is Enterprise only (30-day retention on Business).

  • mediummigration complexity

Large workspaces with many relations take real effort to migrate.

  • data portability: moderate

Pages export to Markdown, HTML and PDF; databases export to CSV. Relations, rollups, views and automations do not survive export.
